How to scan and organise invoices on Android

With the Android app Zilqaro you scan invoices with your phone camera, save them as PDFs and file them in your own folders. This works in the free version, without a user account, and documents are processed on your device.

Step by step

1. Create a folder. Open Zilqaro and create a folder for your invoices, for example "Invoices 2026".

2. Open the scanner. Start the built-in scanner and hold your phone steady above the invoice. If you already have a photo of the invoice, pick it from your gallery instead.

3. Capture every page. For invoices with several pages, scan the pages one after another so they end up in one PDF. Check the page order before saving.

4. Save as PDF and file it. Save the scan as a PDF in the right folder.

5. Find and share it later. You will find the invoice again in its folder. Use Android's share function to send the PDF on, for example by email.

Tips for keeping things tidy

• Few, clear folders: one folder per year or per area, such as home, car or insurance.

• Good light: lay the invoice flat on a plain, dark surface and scan in daylight. The text will be easier to read.

• Check right away: look at the scan straight after saving, while you still have the paper at hand.

Free or Pro?

Both versions are ad-free. Scanning, saving as PDF, filing in folders and sharing are free. The free version allows up to 3 folders with up to 10 PDFs each. Also free: records (the number of records is not limited), PDF notes, voice notes, and deadlines and reminders. Each PDF note and voice note counts like a PDF towards the limit of 10 per folder. With Zilqaro Pro, folders and PDFs are unlimited. You can also use text recognition (OCR, on your device, after you consent) to recognise and copy text from a scanned invoice, such as an invoice number.

You can try all features for 30 days without a credit card; the trial does not turn into a subscription automatically. Afterwards the free version keeps working. Zilqaro Pro is an annual subscription that renews automatically, €9.99 per year in Germany. You can cancel it in Google Play at any time, effective at the end of the current billing period; Pro stays available until then. Zilqaro is currently available on Google Play in Germany only. Google Play shows the binding price before you subscribe.

FAQ

Do I need a user account?
No. Zilqaro works without a user account and runs no cloud of its own. Your invoices stay on your device unless you share them yourself or back them up to a folder you choose.

Do I need an internet connection?
Zilqaro has no permission to make internet connections of its own. Only the Google Play services document scanner may download a required component on first use, after you consent. Buying and verifying Zilqaro Pro happens through Google Play. When you share a PDF with another app or store a backup with a cloud provider, the app or provider you chose transfers the data.

Is a scan enough for tax or record-keeping requirements?
Zilqaro cannot promise that. Zilqaro is an app for scanning and filing, not accounting or archiving software. Please check the requirements that apply to you with your tax adviser.

How many folders and PDFs are free?
Up to 3 folders with up to 10 PDFs each in the free version. With Zilqaro Pro, folders and PDFs are unlimited.
